Valhalla Football Boosters Inc. (“Valhalla,” “we,” “us,” or “our”) is a Florida nonprofit booster organization that raises funds and provides support for the benefit of the West Orange High School Football program. We operate the website WOWarriorFootball.com, including mobile concessions ordering, sponsor and partner services, volunteer communications, fundraising, donations, and related informational services.

Valhalla Football Boosters Inc. is an independent nonprofit organization. We are not Orange County Public Schools (“OCPS”), West Orange High School, or an agency, department, or legal representative of either. Valhalla is registered with OCPS as a booster club and is authorized and insured to conduct approved activities on school grounds subject to applicable OCPS requirements.

This Privacy Policy explains what information we may receive or process, how we use it, and the steps we take to minimize unnecessary collection and retention.

1. Our Privacy Approach

Valhalla does not sell personal information.

We do not use personal information for behavioral advertising, data brokerage, profiling, or the sale of customer information.

We do not use Google Analytics, Meta/Facebook Pixel, advertising cookies, or similar advertising or cross-site tracking technologies.

We intentionally minimize the personal information stored on our website and infrastructure. Whenever practical, sensitive functions such as payment processing are handled directly by specialized service providers rather than by Valhalla.

2. Information We May Receive

Depending on how you interact with us, we may receive limited information that you voluntarily provide, including:

name;
email address;
telephone or mobile number;
mailing address;
contact-form submissions;
newsletter subscription information;
donor or fundraising-related contact information;
volunteer-related information;
sponsor or partner contact information;
sponsor business information, logos, artwork, website links, social media links, addresses, brand colors, promotional information, discount or coupon information, and sponsorship level;
account information used to access sponsor or partner self-service features; and
information associated with concession orders or other requests you initiate.

Some information submitted through the website is transmitted to Valhalla by email rather than retained in the website's application database.

3. Payment Information

Valhalla uses Square as its payment-card processing provider.

When you make a payment, you are redirected to or otherwise interact directly with Square's payment environment. Payment-card numbers, security codes, banking credentials, and similar payment credentials are provided directly to Square and are not collected, logged, or stored by Valhalla on our website or network.

Valhalla may receive limited transaction information from Square that is necessary to confirm or administer a transaction, such as payment status, transaction amount, order identifier, or similar non-card payment metadata.

Square's handling of information submitted directly to Square is governed by Square's own terms and privacy practices.

4. Mobile Concessions Orders

Customers may use WOWarriorFootball.com/mobileorder to place concession orders for pickup.

Information associated with an order may include the selected products, order amount, order identifier, pickup information, and a mobile telephone number collected to process and identify the order.

Mobile concession orders are for pickup only. Valhalla does not provide delivery through this service.

5. SMS / Text Message Privacy

Customers provide a mobile telephone number for the mobile concession order. SMS consent is requested separately through an optional checkbox and applies only to transactional SMS messages concerning that specific concession order.

SMS consent is optional and is not a condition of purchase. A customer may complete an order without agreeing to receive SMS messages.

When a customer opts in, Valhalla may send transactional messages such as:

confirmation that an order was received; and
notification that an order is ready for pickup.

The program is not used for SMS marketing, fundraising solicitations, promotional campaigns, or unrelated recurring messages.

Valhalla will not sell mobile telephone information or SMS opt-in information, and we will not share SMS opt-in information or consent with third parties for promotional or marketing purposes.

We may provide limited mobile information, including SMS consent status, to service providers that are necessary to deliver the requested messaging service, including our messaging platform provider, telecommunications carriers, and vendors involved in transmission of the text messages.

Users may reply STOP to opt out of SMS messages and HELP for assistance.

6. Sponsors and Partners

Local businesses and other organizations may participate in Valhalla sponsorship or partnership programs.

Sponsor and partner accounts may store information necessary to administer the relationship and allow self-service management, including:

business name;
contact name;
email address;
telephone number;
business address;
website and social media information;
logos and graphics;
brand colors;
promotional materials;
discount or coupon information;
sponsorship level; and
account-access information.

Sponsor information intended for public promotion—such as a business name, logo, website, promotional artwork, or sponsor offer—may be displayed publicly as part of the sponsorship relationship.

Private sponsor contact information is not sold or made available to unrelated third parties for marketing purposes.

Separate sponsorship agreements may contain additional terms concerning sponsor content and promotional use.

7. Donations and Fundraising

Valhalla may accept donations or fundraising payments.

Payment credentials are processed by Square and are not stored by Valhalla.

We may retain or receive limited information necessary for nonprofit administration, donor acknowledgement, accounting, tax, legal, or recordkeeping purposes.

We do not sell donor information.

8. Volunteers

Valhalla may receive information from individuals who express an interest in volunteering.

Valhalla operates approved activities on school property subject to OCPS requirements. Individuals volunteering with Valhalla on school grounds must satisfy applicable OCPS volunteer requirements, including required approval through the OCPS ADDitions volunteer process and applicable school check-in procedures.

Information provided directly to OCPS or another school-system service is governed by the applicable OCPS or service-provider privacy practices.

9. Adults Only

Our online transactional, sponsor, donor, and volunteer services are intended for adults.

We do not knowingly solicit personal information from children under 13 through these services. If we learn that personal information from a child under 13 was submitted directly to us without appropriate authorization, please contact us so that we can address the information.

10. Cookies

WOWarriorFootball.com may use cookies or similar browser storage that are necessary for basic site functionality, such as:

maintaining a session;
preserving application state;
security functions;
remembering temporary choices; or
supporting login functionality.

We do not use cookies for behavioral advertising, cross-site tracking, or sale of user profiles.

11. Web Server Logs

Like most web servers, our infrastructure may automatically create temporary HTTP or system logs that can contain technical information such as:

IP address;
browser or user-agent information;
requested URL;
date and time;
response status; and
technical error information.

These logs exist for normal server operation, troubleshooting, and security purposes. We do not use them to build advertising profiles or analyze individuals for marketing purposes.

Temporary web-server logs are routinely and permanently deleted within 7 days, and may be deleted sooner when an instance is restarted or replaced.

12. Hosting and Backups

Valhalla uses Amazon infrastructure for website hosting and backup purposes.

Our architecture is designed so that Amazon-hosted website and backup systems do not contain payment-card information, Social Security numbers, birthdays, or similar sensitive financial or identity information.

Amazon does not process payments for Valhalla.

Temporary technical logs may be created as described in the Web Server Logs section above.

13. Email and Operational Communications

Some information submitted through the website is transmitted to Valhalla through email rather than stored in the website backend.

Operational emails may be retained for as long as reasonably necessary for nonprofit administration, legal, accounting, sponsorship, fundraising, volunteer, or service purposes.

14. How We Use Information

We may use information we receive to:

provide requested services;
process or confirm orders and transactions;
administer sponsorships and partnerships;
communicate with donors, sponsors, volunteers, and supporters;
send requested transactional SMS notifications;
respond to inquiries;
operate and secure the website;
troubleshoot technical problems;
maintain nonprofit, financial, accounting, or legal records;
comply with law; and
protect Valhalla, its users, volunteers, or property.

We do not use personal information for data brokerage or behavioral advertising.

15. When Information May Be Shared

We do not sell personal information.

We may disclose limited information when reasonably necessary to:

provide a service you requested;
process a payment through Square;
deliver SMS messages through messaging and telecommunications providers;
operate website, email, hosting, or backup services;
comply with a subpoena, court order, law, or other valid legal requirement;
prevent fraud, abuse, security incidents, or unlawful activity; or
protect the rights, safety, or property of Valhalla or others.

Service providers are used only to the extent reasonably necessary to perform their respective functions.

SMS opt-in data and consent are not shared for third-party promotional or marketing purposes.

16. Retention

We seek to retain information only for as long as reasonably necessary for operational, accounting, fundraising, contractual, legal, security, or nonprofit recordkeeping purposes.

Temporary web-server logs are ordinarily deleted within 7 days or sooner when the applicable instance is restarted or replaced.

Information that merely passes through the website to email is not intentionally retained in the website backend.

Sponsor account information may remain available while the sponsor relationship or account remains active and as reasonably necessary afterward for legitimate nonprofit or legal purposes.

17. Security

We use reasonable administrative and technical measures appropriate to the nature of the information we handle.

We intentionally reduce risk by avoiding storage of payment-card credentials and by using Square to process payments directly.

No website, email system, telecommunications network, or method of electronic storage can be guaranteed to be completely secure.

18. Third-Party Sites and Services

Our website may link to third-party websites or services, including Square, sponsor websites, social-media services, or other resources.

Those services operate under their own privacy policies and terms. Valhalla is not responsible for the privacy practices of independent third parties.
